Recording Secretary to the Coolidge Standing Committee Job Description

The Coolidge Standing Committee is a subcommittee of the Forbes Library Board of Trustees and follows open meeting law.  Meetings are on the 1st Monday of the month (except Sept is 2nd Mon) at 5PM.  An annual meeting is held in fall on an evening or Saturday afternoon. Meetings typically run 60-90 minutes and are held hybrid.  The recording secretary can attend in person or remotely.  

Minutes 

  • Attend all regular monthly and special CCPLM Standing Committee meetings held in person and on zoom meetings, and record:  time, place, and attendees;  votes taken including text of the motion, who made and seconded, and result of the vote; brief summaries of discussions
  • Prepare a draft of minutes within 2 weeks to be reviewed and approved by the Committee at their next meeting
  • Make corrections and prepare final minutes after approval by Committee  
  • Send approved finalized minutes to Head of Calvin Coolidge Presidential Library & Museum for filing

Qualifications

  • Demonstrated ability to type quickly and capture essential points during meetings
  • Good command of English language, grammar, & spelling
  • Experience with Google Documents preferred
  • If joining remotely, ability to access zoom meetings.   

Appointment

  • By the Board of Trustees
  • The Recording Secretary cannot be a voting member 

Salary

  • $50 per meeting
